"OCAC has gone paperless with the adoption of OSWAS. Now all the files at the directorate are automated," officials said. OCAC is the implementing agency of the OSWAS in all the departments while the IT major TCS is the software designer. Sources said, the automated filing system has been implemented in about 35 departments.
In a recently held review meeting on the implementation of OSWAS, chaired by state IT Secretary Sanjeeb Kumar Mishra all the departments are directed to process all the new files through OSWAS. 19 departments have already integrated e dispatch with OSWAS.
The concerned departments are asked to make proper use of integration feature for smooth delivery of inter departmental letters and to reduce the load on the diary section in the automated process. They are also asked to use the knowledge management system of OSWAS where all notifications, circulars, resolutions, guidelines etc can be stored in departmental folders. However, public view will be only allowed with the permission of the secretary of the department.
The OSWAS and e-despatch systems have been successfully adopted by several departments.
Sources say about 25000 addressees have been created for electronic transfer of letters (edespatch).About 1254 offices across the state are using the e dispatch application. On an average 2500 original letters (with 4500 memos) are being transacted daily through the application. About 10000 citizens are accessing the application on daily basis.
